Responsibilities

1. Notify Us Of A Problem

If you discover a problem upon check-in, please notify us immediately. This will allow us to respond to the problem as quickly as possible and will also ensure that you or your family is not held responsible. If you wait more than 24 hours to inform us of a problem (with the exception of refrigerator and air conditioning failures), we will assume that the problem or damaged item was a result of your stay. 

Remember: Call right away - so you won't have to pay.

2. Observe The Occupancy Limits

We reserve the right to refuse occupancy if, in the agent's opinion, occupancy is detrimental to the property. We do not rent to groups, house parties, etc., only families, couples, and responsible adults 24 years and older. The occupancy limits in each home description are firm and are closely monitored. Occupancy Limits are based on the number of beds in the home. While all beds are listed to allow flexibility in sleeping arrangements, no overcrowding is allowed. No campers, tents, or motor homes may be used in conjunction with a rental unit to increase capacity. Guests who exceed the occupancy limits will face immediate termination of the rental, with no refund of rental monies paid. Please include all members of your family in your planning and rent a home of sufficient size.

3. Protect The Home From Damage / Missing Items

Please note that you are personally responsible for any damages or missing property that occurs during your stay. Leave furniture and other contents in their original location and condition. The "Guest of Record" will be required to pay for any and all damages which occur during his/her occupancy, not limited to the amount of the Security Deposit.

4. Locked Closets

Many of our homes have an owner's locked closet or storage room for their personal items. Tampering with locked closets will result in a charge to the guest's security deposit. Please respect these areas as they are not intended for use.

You are, however, still required to complete the following before leaving the home:

  • Return the air conditioning to 78 degrees or the heat to 55 degrees.
  • Remove all foods from the cabinets and refrigerator.
  • All trash must be placed in the receptacles and placed at the curb.
  • Replace bed coverings and pillows on all beds.
  • Wash and put away all dishes.
  • Turn off all inside and outside lights, and ceiling fans.
  • Lock all windows and doors.

Reservation Cancellation

Cancellation of a confirmed reservation is required in writing by mail, fax or e-mail. When the property is re-rented for the full period of the canceled reservation and confirmed with a paid deposit, a refund will be issued less a cancellation fee equal to 10% of rent paid (minimum of $275). All fees and insurance premiums are non-refundable.

If the property is not re-rented for the full-time period of the canceled reservation, all monies paid will be forfeited due to the availability of Trip Interruption Insurance. Coastal Vacation Resorts will not make any refunds due to a mandatory evacuation of the island.

We will make every effort to ensure that your reservation is undisturbed. However, occasionally a home will become unavailable after a reservation has been confirmed. The sale of a home, the full-time occupancy by the owner, or a change in the owner's schedule may result in a change in the home's availability.

If we are unable to provide the home originally reserved, we will contact you as soon as possible and help you find an alternative home. If you do not find any of the alternatives acceptable to you, we will refund 100% of your rental monies.

Check-In Time is 3:00 PM

Our office is located to the right of the bridge, across the street on the oceanfront. If you are running late, please call (800) 252-7000. We will make keys available to you "after hours." Please do not go to the home prior to check-in as the cleaning crew will not enter the home if a car is present, and they will be delayed in their efforts.

Early Check-In is 1:00 PM

Interested in getting an early start on your vacation? We also offer a special, early check-in each week on a limited number of homes. An additional fee of $100.00 plus tax will provide the option of checking in at 1:00 pm vs 3:00 pm. Please call for more details.

Check-Out Time Is 10:00 AM

Sorry No Exceptions - All check-outs must return rental keys no later than 10:00 AM to the Coastal Vacation Resorts office staff or place them in the dropbox in the glass vestibule on the east side of our building.

Emergencies

If you have an emergency during your stay after our office is closed, please call the after-hours number (910-846-3546). If you need assistance after office hours and it is not a true emergency, please leave a message on our 24-hour message service at 910-842-8000. The messages are checked first thing each morning and we will respond quickly. Emergency fax service is available to our guests at a rate of $1/page.

Those little extras-

Food Lion grocery and Walgreen Drugs are located at the stoplight as you turn onto the causeway before crossing the bridge to the island. Other large stores such as Hills Grocery and Super Wal-Mart are located in Shallotte, just 15 minutes away. Vacation supplies, linens, and equipment can also be rented at reasonable rates. Holden Beach Turtles

Holden Beach is a Sea Turtle Sanctuary. While vacationing on our beautiful island, we need your help in protecting our extraordinary turtles. Call our 24-hour pager for any sea turtle sightings – 910-754-0766. "Turtle Talk", an educational program, is held during the summer at Town Hall. Check with our office for times and dates.
